ITKF Privacy Policy


ITKF knows that you care about how your information is used and shared, and we guarantee that we will take care of it with care and responsibility. This Privacy Policy is intended to establish rules regarding the storage and use of data and information collected from customers/internauts in its integration with the ITKF system.

Services covered by this Privacy Policy

This Privacy Policy applies to all processing of personal data carried out by, or on behalf of, the ITKF, and to the extent such processing is carried out by them, in the context of digital services such as websites, applications, newsletters, registration systems, online professional services and other business resources managed by the ITKF.

Registration

Our content is generally available without registration. However, our management system and event registration services as well as certain  transactions, functionalities or activities (e.g. contests, newsletters and e-commerce) offered on our website, systems and other digital properties require that you register with us and provide certain information about you.

Registration policy is defined by the ITKF Constitution on our websites and digital properties.

The information we collect

We will collect information about you in different situations, for instance when you subscribe on our Newsletter service, when you register via a member organization or when you request a service from us. Information collected includes biographical information necessary to identify you and communicate with you (e.g. first name, last name, email address, phone number, physical address, country of residence,…).

We also collect certain information when you visit our services (also as a non-registered user), through cookies.

1. Information that you provide to us

You provide us with information, including personal data, when you register as member organization of affiliated black belt, communicate with us, request a service from us or ask us a question, complete certain transactions or subscribe to B2B services or B2C services, promotional communications or media alerts.

a) Data necessary to provide you certain services

Certain services require that you provide additional information about you. This is the case for instance for member organization affiliation and dan registration or other events organised by us. Additional information may also be required to use services allowing you to look for goods or services from us or to participate in any ITKF supported events.

In these different situations, we will inform you specifically about the information we need to collect in order to provide you the requested goods or services and of any other conditions applicable to the processing of this personal data. The additional information needed will vary depending on the nature of the Services. It may include information such as: first name, last name, job title, physical address, phone number, nationality, ID card number.

b) Contact information

If you communicate with us and/or request any information or service from us, we will use your account information and any other information you may provide us (such as email address, phone number, and any information you disclose to us) to answer your queries.

2. Information that is collected automatically via Cookies

We use automatic tracking mechanisms (including cookies) to collect certain data while you are browsing our services. A cookie is a small file, stored on your browser or computer hard drive, which is used to collect data about your interactions with websites and digital properties, such as browser type, operating system, IP address, device type, location, browsing date and time. We use the personal data we collect to generate the digital certificates, publishing name and rank on website, to communicate with you and to provide you with the information, goods or services which you have requested. We also make available our content on a variety of third-party platforms such as Facebook, Instagram or YouTube. These platforms are governed by their own terms of service and privacy policies that we strongly recommend you to read.

In summary we use the information we collect about you to:

a) manage your registration;

b) generate digital certificates;

c) publish name and rank on the website;

d) provide you goods, services, information, or content that you have requested;

e) communicate with you, including by answering your questions and requests, sending you communications related to your registration  and, if you have opted-in to this service or qualify for it according to the law, send you promotional communications (including by email and other electronic channels) about the Services, our activities and the events, while offering you the possibility to opt-out from such communications at any time; and

h) show and measure advertisements on third party services like Google, Facebook, You Tube and Instragram. If you own an account  on these third-party services, we may, by sharing information with these companies, identify you as user of these third-party services and serve you our advertisements on such services.

Who do we share your information with?

1. Information that is made publicly available

If accepted on the registration forms; country of residence, name, last name and rank will be published on the website.

2. Legal disclosure

We reserve the right to disclose personal data we hold about you if we are required to do so under applicable laws or pursuant to any judicial or administrative process, and to the extent necessary to investigate, prevent, or take action regarding unlawful activities, or violation of the ITKF constitution under the legal basis described in this Privacy Policy.

How do we protect your personal information?

The data can only be consulted by the ITKF authorized personnel upon authentication by password. The system is hosted on Hostinger Web Services. It provides multiple layers of physical and operational security. It has redundancy of services and structure including DNS, servers and storage as well as daily backups. CDN (Cloudflare) distributed across multiple regions of the globe for low latency content delivery.

In other words, the data and information of customers will be stored in a secure environment and can only be accessed by qualified persons authorized by ITKF.

ITKF disclaims any responsibility for any damages and/or losses arising from failures, viruses or invasions of the system’s database, except in cases of intent or fault for the same.

What you can do to limit or delete your personal information

If you have registered with us, you can opt for not having you name and rank published on the website or unsubscribe from the newsletters. You can also disable cookies and similar technologies on you internet browser configuration.

General provisions

The provisions of this Privacy Policy may be updated or modified at any time, so we suggest checking by the Internet user/customer whenever accessing the Site.

What you must do to protect your data

You are also responsible for the security and confidentiality of your passwords and/or confidential information. Therefore, we recommend:

When accessing the Internet, always be aware of the privacy policy of the website you are accessing.
Use complex passwords that are difficult for others to detect, simple passwords are easily cracked.
Never give your password to anyone and try to create new passwords periodically.

Changes to this Privacy Policy

When we make changes to this Privacy Policy, we will adequately inform you in advance where such changes impact your rights as a user of the services or where required by law, for example by posting a notice on the website or by communicating with you via email, so you can review our revised policy and decide whether to continue to use the services or not.
